The selected candidate will report directly to the Field Co-coordinator and will be responsible for overseeing the financial accounting and general administrative functions of the project. About the Organization:

Prayatnashil Community Development Society (PRAYAS-Nepal) is a registered non-governmental, non-profit, non-religious, and service-oriented district-level organization based in Dhading, Nepal. It was registered with the District Administration Office of Dhading on 2058-12-6 B.S. and with the Social Welfare Council on 2059-9-6. Since its establishment, PRAYAS-Nepal has been actively working in the areas of education, child protection, and community mobilization. The organization is also a member of the NGO Federation Nepal. PRAYAS-Nepal is an autonomous and politically non-partisan institution governed by its own constitution, financial and administrative policies, and code of conduct. It maintains its main office at Neelkantha-3, Dhadingbesi, Dhading, and works in collaboration with various external development partners.

Currently, PRAYAS-Nepal is implementing the RELIEF project — focused on enhancing community food security and climate resilience in Northern Dhading — in partnership with ADRA Nepal, in coordination with Khaniyabas and Gangajamuna Rural Municipalities. Under this project, a total of 1,600 households have been organized into 80 farmer groups to improve agricultural and small livestock production through community mobilization.

Key Responsibilities:

Financial Management and Reporting:

  • Provide overall financial and administrative support to the project.
  • Assist the project management team in budget planning, preparation, revision, and execution in coordination with the Field Coordinator.
  • Prepare and submit monthly, quarterly, and annual financial reports to the organization and donor agency on time.
  • Prepare budget regularization requests and submit to the Field Coordinator as required.
  • Support periodic internal and external project audits and supply all necessary documentation.
  • Monitor project expenditures and ensure no spending is incurred without prior authorization.
  • Assist in drafting quarterly and annual project progress reports related to financial matters.
  • Ensure that financial management of the ADRA Nepal-funded project aligns with PRAYAS-Nepal's financial policies and applicable government regulations.
  • Maintain accounting software, transaction records, and supporting documents.
  • Prepare quarterly advance requests to obtain advance funds from ADRA Nepal in the required format.
  • Handle cash and treasury operations using spreadsheets for expense tracking, payroll management with tax applications, and transaction controls.
  • Prepare and confirm monthly finance reports.
  • Support the Field Coordinator in preparing annual and supplementary budgets.
  • Monitor budget versus actual expenditures and report spending status to the Field Coordinator.
  • Maintain cost efficiency and track budget allocation in line with planned activities.

Administration and Procurement Function:

  • Manage administrative functions and establish internal administrative systems and controls.
  • Maintain updated documentation, filing systems, and administrative data in both physical and digital formats.
  • Collect quotations and conduct market surveys following ADRA Nepal's and PRAYAS-Nepal's procurement policies for all project goods and services.
  • Maintain contracts, logistical arrangements, and project document folders including correspondence records.
  • Perform administrative duties such as maintaining attendance sheets, managing leave records, and keeping logbooks for vehicles and official correspondence.
  • Maintain stock records of office supplies and materials.
  • Track the proper use, maintenance, and repair of physical assets including vehicles, equipment, and furniture.
  • Maintain fixed asset inventory records and conduct physical verification at the end of each fiscal year, reporting findings to the Field Coordinator.
  • Participate in the project procurement committee and carry out procurement activities as per donor agency guidelines.
  • Coordinate administrative activities and maintain monthly and yearly operational timetables.
  • Prepare draft appointment letters, job descriptions, field records, and related documents as directed by the Field Coordinator.
  • Organize meetings, workshops, and training sessions as required in quarterly work plans.
  • Ensure the safety and security of PRAYAS-Nepal's assets under the guidance of the Field Coordinator.

Required Qualifications & Experience:

Education:

  • A bachelor's degree in management with at least two years of relevant experience, or a master's degree in a related field with at least one year of experience in finance and administration within the NGO sector.

Experience:

  • Minimum of two years of experience (for bachelor's degree holders) or one year of experience (for master's degree holders) working in finance and administration roles within NGOs.

Required Skills & Knowledge:

  • Solid understanding of basic accounting principles and generally accepted accounting practices.
  • Proficiency in Microsoft Office applications and good overall computer skills.
  • Competence in accounting software such as TrueBook, FAMAS, SMART, or similar financial reporting platforms.
  • Strong interpersonal skills with the ability to build and maintain productive working relationships.
  • Resourceful in identifying solutions and resolving workplace challenges.
  • Fluency in both English and Nepali — spoken, written, and typing.
  • Valid two-wheeler driving license.
