The EU Delegation to Nepal, based in Kathmandu, works in close coordination with the Embassies and Consulates of all 27 EU Member States. As a fully-fledged diplomatic mission, we represent the European Union in dealings with the Government of Nepal across areas that fall within the EU's mandate.
About the Position:
The Secretary position at the EU Delegation involves providing mainly administrative tasks within the Political, Press and Information Section. The team consists of four people, and there are occasional atypical working hours. The successful candidate will serve under the supervision of the Head of the Political, Press and Information Section, providing support, expertise, and assistance in the political, press, and information field.

Key Responsibilities:
- Executive Support
- Provide comprehensive support to the Head of Section, including in their capacity as Chargé d'Affaires a.i.
- Manage schedules, appointments, and correspondence for the Head of Section
- Support other section staff with administrative needs
- Administrative Management
- Provide overall organizational and administrative assistance to the section
- Handle office communications including phone calls, emails, and mail
- Ensure timely responses to all correspondence
- Register correspondence and maintain organized filing systems (both online and physical)
- Meeting and Event Coordination
- Assist in preparing and coordinating meetings, events, and missions
- Support organization of official visits
- Draft meeting minutes and official correspondence
- Coordinate with stakeholders for smooth event execution
- Documentation and Reporting
- Support preparation, formatting, and editing of reports
- Assist with briefing documents and press releases
- Gather information and ensure document accuracy
- Maintain and organize filing systems and databases
- Press and Information Activities
- Assist in managing press and public information activities
- Support events such as Europe Day celebrations
- Contribute to the section's communication efforts
- Additional Duties
- Act as alternate for the Assistant to the Head of Delegation during absences
- Perform any other tasks as required within the section
Required Qualification & Experience:
- Education
- Completed secondary education OR higher secretarial college
- Must be attested by a diploma
- Experience
- Minimum 3 to 5 years of professional experience in the secretarial field or administration
- Experience must be acquired after obtaining the qualifying qualification
- Previous experience in a diplomatic mission or multicultural environment
- Extent of archivist/archiving experience or training
Required Skills & Knowledge:
- Working knowledge (both written and verbal) of English (minimum B2 level)
- Working knowledge (both written and verbal) of Nepali (minimum B2 level)
- Right to residence and work in Nepal
- Must fulfill all conditions as outlined in the vacancy notice
Ability to perform multiple tasks and prioritize while respecting deadlines - Sound time management and interpersonal skills
- Capacity for organizing and coordinating meetings and agendas
- Sound computer skills (MS Office proficiency)
- Skills and experience with VTC tools, particularly WEBEX
- Teamwork fluency and high flexibility
- Capacity to work under pressure
- Language Proficiency
- Level of language skills (written and oral) in English and Nepali
- Knowledge of additional EU languages (such as French) is an advantage
Salary and Benefits Package:
