Training Site Secretary (TSS) Job Description:

The Training Site Secretary (TSS) will work under the direct supervision of the Training Coordinator (TC), providing essential secretarial and logistical support to ensure the effective operation of the Pre-Service Training (PST) for Peace Corps Trainees (PCTs) and Volunteers. (PCVs). This role involves a variety of tasks, including knowledge and property management, inventory control, and facilitating small group information sessions. The TSS will work on-site at the PST location in a Nepali community, maintaining a flexible schedule that may include weekends and holidays.

  • Work Hours: Six days per week, including holidays. Flexible hours beyond 8:00 AM - 5:00 PM.
  • Reports To: Training Coordinator

Responsibilities of Training Site Secretary (TSS):

  • Preservice Training Support:
    • Collaborate with TC and Training Administrative Assistant (TAA) to create, reproduce, collate, distribute, and file training materials.
    • Manage the preparation and distribution of learning materials and maintain electronic and hard copy filing systems.
    • Coordinate the distribution of training supplies and equipment with the TC and TM.
    • Manage vehicle logbooks and arrange travel for PCTs and staff.
    • Assist in inventory and packaging of PST supplies and equipment, and maintain storage areas.
    • Ensure effective communication between training sites and the Peace Corps Office in Kathmandu.
    • Participate in General Training of Trainers (TOT).
  • Administrative Tasks:
    • Greet visitors, answer phones, and redirect information requests appropriately.
    • Organize files, copy, bind, and scan documents.
    • Conduct office supplies inventory and manage orders.
    • Assist with creating and managing staff travel plans and schedules.
    • Ensure timely accommodation and meals for visitors and staff.
  • Safety and Security:
    • Be knowledgeable about the Peace Corps Emergency Action Plan (EAP) and assist in ensuring the safety of PCTs and staff.
    • Monitor safety and security situations and report concerns immediately.
    • Follow infectious disease mitigation protocols and manage risks appropriately.
  • Occasional Money Handler:
    • Courier cash and/or purchase orders to vendors and PCTs or Volunteers as required, acting as an intermediary between the Contracting Officer and the recipient.

Required Qualification & Experience forTraining Site Secretary (TSS)

  • Education: Higher Secondary Education (+2) or equivalent.
    Language Proficiency: Professional oral and written English and Nepali proficiency.
  • Experience: 
    • Minimum of six months of experience in secretarial or administrative tasks.
    • Experience in visitor management, phone handling, and organizing office supplies.
    • Experience working with individuals from marginalized communities in Nepal.

  • Strong communication and interpersonal skills, conflict management, diplomacy, and tact.
  • Ability to work independently and proactively; self-motivated and adaptable.
  • Professionalism, integrity, confidentiality, and team collaboration.
  • Candidates will receive credit for all qualifying experiences, including volunteer experience.
  • Proficiency in Microsoft Office (MS Word, Outlook, Excel); ability to type in both English and Nepali.
  • Ability to create and manage travel plans and schedules.
  • Familiarity with rural village community settings in Nepal.
