Administrative Associate Job Description:

As an Administrative Associate at Women LEAD Nepal, you will play a pivotal role in ensuring the smooth functioning of our operations. From managing communications to overseeing office logistics and supporting various administrative tasks, you'll be integral to our team's success.

Duties of the Administrative Associate:

  1. Handle incoming and outgoing communication, ensuring prompt and professional responses to inquiries and requests.
  2. Oversee day-to-day office operations, maintaining a clean and organized workspace.
  3. Archive monthly timesheets of all staff, trainees, and interns.
  4. Assist in maintaining the leave records of the Women LEAD team.
  5. Facilitate staff benefits, such as accident insurance, medical, and life insurance, in coordination with the Finance Coordinator.
  6. Record office merchandise for programs and report monthly usage to the Finance Coordinator.
  7. Maintain inventory of office supplies and program materials, including regular purchases and storekeeping.
  8. Organize and secure all administrative filing, records, and archiving of important documents, such as leases, contracts, and MOUs.
  9. Draft contracts for interns, trainees, and resource persons/facilitators of specific programs.
  10. Ensure proper recording of the organization's fixed assets and support the Treasurer with the annual fixed asset review.
  11. Provide administrative support to the Finance Coordinator.
  12. Maintain good relationships and coordinate with vendors for the procurement of goods and services as needed.
  13. Assist in maintaining petty cash.
  14. Manage the Chautara Resource Center.

Required Qualification & Experience for Administrative Associate:

  • Completed +2 in Management or Humanities.
  • Minimum 1-2 years of working experience in related fields.

Required Skills for Administrative Associate:

  • Passion for young women's empowerment.
  • Proficiency in Nepali & English.
  • Excellent written and oral communication skills.
  • Exceptional administrative and organizational skills with attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
  • Forward-thinking with strong decision-making capabilities.
