Project Informations:

Following the 6.4 magnitude earthquake on November 3, 2023, IOM has been actively involved in recovery efforts in Jajarkot District. The Joint Recovery Action Plan: Western Nepal Earthquake was launched in February 2024, aiming to support livelihoods, enable long-term recovery and reconstruction, and build resilience to natural shocks in 2024. IOM is leading shelter recovery interventions from May 2024 to January 2025.

Administrative Assistant Job Description:

The successful candidate will work under the supervision of the Head of Resources Management Officer and the direct supervision of the National Procurement Logistics and Government Liaison Officer. They will be responsible for providing administrative, logistical, and financial assistance to the UN's joint recovery project focused on shelter in Jajarkot and Rukum West districts under the Migration, Environment, Climate Change, and Risk Reduction (MECR) unit.

Responsibilities of Administrative Assistant:

  • Providing office, administrative, and logistical support for trainings, seminars, workshops, and internal/external meetings.
  • Reviewing, recording, and distributing logistic items; managing incoming/outgoing mail and correspondence.
  • Initiating general administrative tasks in online financial, travel, and HR systems such as travel requests, purchase requisitions, and other system requirements.
  • Responding to inter-unit correspondence and other communications; organizing events under the Joint Recovery Project.
  • Coordinating with the Program Manager and Resource Management Unit (RMU) to provide additional support for project implementation, budget drafting, and program settlements.
  • Maintaining project databases such as registry, logistics inventory, and compiling reports as needed.
  • Updating mailing lists and other databases; managing electronic and paper files.
  • Making travel and hotel arrangements, preparing travel authorizations/claims for staff.
  • Coordinating with MECR Administrative Assistant, IOM Nepal Finance, and IOM Nepal Procurement Unit for program organization and settlements.
  • Assisting in organizing and coordinating internal/external meetings and preparing administrative documents.
  • Coordinating with hotels and suppliers/vendors for logistics follow-up.
  • Reporting any changes on resource management functioning to supervisors.
  • Performing other duties as required.

Required Qualifications and Experience for Administrative Assistant:

  • Education: Relevant educational qualifications.
  • Experience: Prior work experience with international humanitarian organizations, NGOs, or government institutions in multi-cultural settings is advantageous.

Required Skills for Administrative Assistant:

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills and attention to detail.
  • Fluency in English and Nepali (oral and written) is required.
